What you’ll have when the install is done
The Hiring Snapshot is a done-for-you install. You purchase it once ($997, no monthly fees, no contracts — you own it), and we do the heavy lifting. Within 24 hours of receiving your order and brand kit (Mon–Fri; weekend orders the next business day), your snapshot will be:
- Imported into your GoHighLevel sub-account
- Branded to your firm (logo, colors, sender IDs)
- Loaded with 50+ pre-built workflows, 13 pre-built pipelines, and 90+ tags
- Wired with forms, templates, calendars, and AI prompts
You then get 10 dedicated configuration hours (use within 15 days) to tailor it to your agency. The snapshot sits in front of your existing ATS (Bullhorn, Greenhouse, Loxo, JobAdder) as your lead-capture, marketing, and automation layer — it never replaces your ATS.
Before you start
You need: GoHighLevel Pro plan (or a SaaS Pro reseller account) active in your name; admin access to your domain DNS; your firm logo as SVG/PNG; your brand colors (hex codes). Free A2P 10DLC registration is included.
Step 1: Purchase and send your brand kit
After checkout, you’ll get a short intake form. Send us your logo (PNG/SVG), brand colors (hex), agency name, and the sender name/email you want candidates to see. The faster this arrives, the faster the 24-hour install clock starts.
Step 2: The 24-hour install (done for us)
We import the snapshot into your sub-account and wire everything up. The import copies all 13 pipelines, 50+ workflows, templates, calendars, custom fields, forms, and AI prompts into your sub-account, then we connect your branding and sender identity.
When it’s done, you’ll be able to confirm: pipelines are visible (13 of them), workflows show up under Automation, the 90+ tags are in place, and the candidate-intake form is in the Forms library.
The 24-hour figure assumes no surprise blockers (DNS issues, GHL plan upgrades, 10DLC registration delays). 10DLC brand and campaign registration can take 1–3 days at the carriers — we submit it on day one so SMS volume can begin as soon as it’s approved. For lower-volume conversational SMS, a toll-free verified number approves in hours.
Step 3: Use your 10 dedicated configuration hours
This is where you and our team tailor the snapshot. Across your 10 dedicated hours (within 15 days), we typically cover:
Branding polish. Confirm Business Profile (name, logo, sender name/email) and apply your colors to the candidate-facing pages (intake form, application pages, scheduling pages).
Calendars and inboxes. Each recruiter connects their calendar (Google / Outlook / O365) and sets interview-available windows. Decide between a shared agency inbox ([email protected]) or per-recruiter inboxes — the templates support both.
Your first roles. Pick the active roles you’re recruiting for now. For each, clone the intake-form template and set the role title and application landing-page URL. Saving wires the form to the right pipeline stage and assigned recruiter.
AI Recruiter Line + chatbot. Tailor the AI voice agent and chatbot prompts to your roles, pay ranges, and locations so they qualify candidates and book screens accurately.
Step 4: Test the candidate flow
Apply to your own job posting as a test candidate. Confirm:
- Application submission triggers SMS + email confirmation within 60 seconds
- The candidate lands in the right pipeline at the right stage
- The assigned recruiter gets the new-candidate notification
- An interview can be booked through the self-scheduling calendar
If any step fails, the most common cause is sender authentication (SPF/DKIM not yet propagated). Wait 30 minutes and re-test.
Step 5: Go live and train your team
Walk your team through:
- Where candidates appear on their dashboard
- How to advance a candidate through pipeline stages
- How to send SMS from inside a candidate record (with STOP/HELP handling built in)
- How to book an interview using the self-scheduling calendar
- How candidate re-engagement and review-harvesting workflows run automatically
Record a 20-minute walkthrough as you train the first recruiter, then share it with the rest of the team.
After go-live
The next 2 weeks are about adoption — making sure recruiters use the system instead of falling back to spreadsheets. Two practices help:
- Daily 15-minute standup at the snapshot dashboard. Builds the habit of looking at the data.
- Weekly review of “candidates stuck at a stage.” Automation catches most cases, but some candidates linger — the weekly review prevents drift.
Within 30 days the snapshot becomes the default workflow. Within 90, the metrics start moving. You also get 1 year of free updates and lifetime email support.
